Terms of Use
Version 1.1 — 2 November 2026. Orders accepted before this date remain under version 1.0 of 4 August 2026.
These terms apply to all services ordered from Vinyl Restore, a brand operated by Pro Technologies Limited, registered in England and Wales, company number 08184949, registered office: 35 Wild Rose House, 3 Firwood Lane, Romford RM3 0FQ, United Kingdom. Pro Technologies Limited is not currently registered for VAT, so no VAT is charged. If we become registered or required to account for VAT, VAT at the applicable rate will be added to our prices from the date of registration. We will tell you in writing as soon as we know, and in advance where possible. For subscriptions and other recurring services you may cancel future renewals without any cancellation charge. This does not remove VAT due on services provided from that date. Contact: info@vinylrestore.co.uk, +44 20 3695 2175.
Our Services
We provide ultrasonic cleaning of vinyl records and digitisation of records into digital formats (WAV, FLAC, MP3), as described on this website. The content of each service and package is set out on the service pages and in the shop at the time of ordering.
Shop purchases
Gift cards and account top-ups bought in our online shop are covered by the general Terms and Conditions of Pro Technologies Limited and our Refund and Returns Policy: the provisions that relate to the purchase apply, together with the conditions stated for the specific product. These terms for record services remain separate.
Prices and Payment
Prices are listed in pounds sterling per record. No VAT is charged — see the VAT paragraph above. A 15% discount applies to orders of 50 or more records. Orders can be paid online through this website or by invoice; invoices are due within 14 days of the date issued.
Payment received. A payment is treated as received only when the full amount has reached our account. We are not responsible for payments that do not reach us — for example, a payment held, delayed or reversed by your bank, card issuer or payment provider (such as PayPal), or a transfer sent with incorrect details. We start or renew a service only after payment is received. If money has left your account but has not reached us, please contact your bank or payment provider; we will credit the payment as soon as it arrives. This does not affect your statutory rights.
We also accept cryptocurrency: USDT (TRON network, TRC-20) and TON. The amount depends on the exchange rate on the day of payment, so please contact us during working hours (Mon–Fri 9:00–18:00, Sat 10:00–17:00 London time, except public holidays in England) before paying — we will give you the exact amount and the wallet address.
Free Test Digitisation
We offer one free test digitisation per client: one track (3–5 minutes) from one record, delivered as an MP3 file by email, with no obligation. The test work is free; postage is at your cost, or you can hand the record over in person by arrangement. If you don’t order, we return the record by post at your cost, or you collect it by arrangement. If you then order a package, the full digitisation of that record is charged at the price of the package you choose.
Handing Over and Returning Records
Records are sent to us by post or courier at your cost, or handed over at our company address by prior arrangement. We can collect in London by prior arrangement: £20 each way in RM, IG and E postcodes, £50 each way elsewhere in London inside the M25; elsewhere in the UK, please send records at your cost. Return is charged at cost. When our services in the order total £300 or more after discounts, including any type of cleaning, return by Royal Mail Tracked 48 within the UK is free; we confirm that this method is available for your parcel, and any other method is agreed separately. Collection is never free. Records are returned in rigid packaging and fresh anti-static inner sleeves.
Condition of Records and Our Care
We inspect records when they arrive and will tell you if we believe an item is too fragile or damaged to be processed safely; we may decline such items. We do not currently accept shellac (78 rpm) records or acetates. Cleaning is a separate service: it removes dirt, grease and static but does not repair scratches or other mechanical damage. Digitisation reproduces the record as it sounds when we record it — after cleaning only if you ordered cleaning. If a record is damaged or lost through our fault, we pay the reasonable cost of an equivalent copy, taking into account the edition and the condition of the record you gave us. Please tell us about any problem with returned records or files as soon as possible, ideally within 14 days of return; this does not limit your statutory rights.
Digital Files and Storage
Digitised files are delivered via a download link and kept for 30 days after delivery, unless a different period is agreed separately, after which we delete them. Please download and back up your files within this period.
Copyright
We digitise records only where you have the permission of the copyright owner or another lawful basis for making a copy. By placing an order you confirm this. Receiving the digital files does not give you any additional rights in the recorded works.
Turnaround
Turnaround times depend on the size of the order and are agreed when the order is placed. If we cannot meet an agreed date, we will tell you as soon as possible and agree a new one.
Cancellation
If you are a consumer, you may cancel an order made online within 14 days of the order without giving a reason. If work has not started, we refund you in full within 14 days of your cancellation. If you expressly asked us to start within the cancellation period and you cancel after we have started, you pay a proportionate amount for the work done up to the time you tell us you are cancelling, and we refund the rest within 14 days of your cancellation. If you expressly asked us to start within the cancellation period and confirmed that you would lose the right to cancel once the service is fully performed, the right to cancel ends when the service has been fully performed. If our work is not done with reasonable care and skill or does not match what was agreed, tell us and we will redo or fix it free of charge; if that is not possible or does not solve the problem, you are entitled to a price reduction or refund under the Consumer Rights Act 2015. There are no cancellation fees.
Late Payment
- Invoices are due within 14 days of the date issued
- If an invoice is overdue we will contact you before taking any further step
- For business customers, late payment carries statutory interest at 8% above the Bank of England base rate together with the fixed statutory compensation set by the Late Payment of Commercial Debts (Interest) Act 1998 — £40, £70 or £100 depending on the size of the debt
- If we instruct a third party to recover a debt, we may recover the reasonable costs we actually incur, evidenced on request
- Services may be suspended while an invoice remains unpaid, after written notice
Debt Recovery
- If an undisputed invoice stays unpaid after written reminders, we may pass the debt to a recovery agency
- We will tell you in writing before we do so, and give you a final opportunity to pay or to raise a dispute
- Recovery costs charged to you are limited to those we actually incur
Legal Costs
- If a dispute reaches court, costs are dealt with as the court directs
- Before that, both parties agree to try to resolve the matter directly, and to consider mediation
- Where we recover an undisputed debt, we may recover the reasonable costs we actually incur, evidenced on request
Limits of Liability
- Each party is liable only for loss that is a reasonably foreseeable consequence of its own breach of these terms
- We are not liable to business customers for loss of profit, loss of business or other indirect loss
- If a record is damaged or lost through our fault, we pay the reasonable cost of an equivalent copy, taking into account the edition and the condition of the record you gave us
- For other claims by business customers, our liability is limited to the amount paid for the service the claim relates to
- Nothing here limits liability for death, personal injury or fraud, or affects the statutory rights of consumers
Fair Comment
- Both parties agree not to publish statements about the other that they know to be false or misleading
- If you are unhappy with our work, please raise it with us first — we would rather fix the problem than argue about it
- Both parties keep the remedies available to them in law
Our Team
- For twelve months after our last piece of work for you, please do not directly solicit our staff or contractors for employment without discussing it with us first
- If this is breached, we may recover the recruitment and replacement costs we actually incur
Updates to These Terms
We may update these terms from time to time. The current version, with its date, is always published on this page and applies to orders placed after publication.
Governing Law
These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction over any dispute.
